We offer several different event rental spaces. The San Diego River Park Foundation and Grant Park strive to offer event spaces as a way to foster a deeper connection with the San Diego River, native flora and fauna, and its heritage. COMMITMENT TO SUSTAINABILITY The San Diego River Park Foundation and Grant Park are dedicated to environmentally friendly practices that reduce our negative footprint. We request that any group, individual, or other renting our event spaces prioritize reusable or compostable dinnerware and flatware to maintain these practices. Grant Park strives to be a zero-waste facility. PARKING: Our parking lot has 60 parking spaces, including two handicapped accessible spaces. These spaces are available on a first come first serve basis at no additional charge. If you need to reserve parking spaces, please contact our Events Manager. We encourage walking/rolling, carpooling, rideshare, and other alternative forms of transportation that reduce our emissions. USAGE AGREEMENTS: Reserved Time and Grant Park Access: Your rate reserves a block of time. No one may enter earlier than the beginning of, or remain in the space past the end of your reserved block of time. This includes, but is not limited to, event staff, vendors, contractors, musicians, photographers, and event guests. Deliveries must be made only during the hours you have reserved the event space. If you would like to discuss special arrangements, please discuss this in advance with our Events Manager. No vehicles are allowed on walkways, decomposed granite spaces, gardens, or grassy areas at any time. EVENT RENTAL CONFIRMATION: Confirmation of Event Reservation: All individuals and organizations wishing to rent the event space are REQUIRED to submit the completed Event Reservation Application and Usage Agreement and pay the rental fee in-full prior to your event. Grant Park staff will confirm the space is available, payment has been received, and then reserve it for you until your request is fully processed. At that time your reservation is officially booked. Confirmation of your booking will be sent either by mail or via email communication. Requests are typically processed within 1-3 business days of receipt. Confirmations are then sent out 3-5 business days of the original request. CANCELLATION: Cancellation of a confirmed event should be made in writing via email directly to the Grant Park Events Manager at events@sandiegoriver.org. Cancellation Policy: • 30+ days prior to event date – Full refund less $20 processing fee • 8-29 days prior to event date – 50% refund of contracted rate • 7 days prior to event date – No refund The San Diego River Park Foundation has the right to cancel events at any time and in emergencies. If we must cancel an event, a full refund will be issued. Please contact Grant Park Event Staff to discuss any concerns or issues you may have regarding your reservation. If you cancel your event due to rain with more than 24 hours’ notice, we will work with you to find a mutually agreeable new date and time. However, the cancellation policy remains in effect. FOOD AND BEVERAGE Catered food and drink are allowed. Grant Park Staff does not provide catering or vendor services of any kind. SMOKING POLICY Smoking and Vaping are not permitted in Grant Park. Consumption of alcohol at Grant Park must be approved prior to your event. ALCOHOL POLICY A permit for serving alcohol is not required if your event is a private invitation only event, and you do not intend to have alcohol sales. An ABC permit from the City of San Diego is required if: • you are charging people to attend your event • alcohol will be sold at your event • the event is open to the public Daily use permits are only issued to qualified organizations such as a non-profit 501(c)(3) or other qualified organization for fundraising events. SDRPF may be able to play this role. Please check with the Event Manager. License allows on-site consumption to the general public. Sale of alcoholic beverages for off-sale is prohibited. Beer and wine may be purchased from a retailer or wholesaler. Law enforcement approval may be required. If you rent the facility, you are responsible for obtaining any required permits. Information on ABC regulations and the permit application can be found here: https://www.abc.ca.gov/licensing/license-forms/form-abc-221-instructions/ STAFFING POLICY Event organizers cannot require SDRPF staff for their events and must provide personnel of their own to manage security, parking, and response to problems. SOUND REQUIREMENTS Sound amplification at Grant Park is strictly limited to a maximum of two (115-volt AC) speakers with a single large speaker (12-inch or less size) per unit. Please check with the Events Manager if you have any questions. At 25 feet from the speakers, the noise level should not exceed 85 dBA Leq noise level. Sound systems should be aimed away from the Riverbed. INSURANCE REQUIREMENTS Events over 50 attendees: Please provide proof of $1,000,000, $2,000,000 aggregate in liability insurance naming The San Diego River Park Foundation as additionally insured. For events with 25 to 50 attendees, submit a single day use policy naming The San Diego River Park Foundation as additionally insured. A one-day policy can be purchased online at www.theeventhelper.com or a similar insurance provider. Events, occasions, meetings under 25 attendees, proof of insurance is not required. DÉCOR: Candles: All candles must be in a safety/protective glass container. Only dripless candles with adequate holders to prevent candle wax from dripping are allowed. Candles must not exceed the height of the container. No open fires are allowed. FLORALS San Diego River Park Foundation and Grant Park encourages, but does not require, the use of California native flowers, plants, and greenery. Only floral wire and special hook-overs may be used to attach flowers or décor to any structure at the park. Tape, nails and tacks are not permitted. You are responsible for removing your décor once the event is completed. RICE, BIRDSEED, CONFETTI The throwing of rice, birdseed and confetti is prohibited in Grant Park. BALLOONS Helium filled balloons, helium balloon arches, and helium filled inflatables of any kind are prohibited in Grant Park. CLEAN UP: We ask that you leave your event space in the same clean and tidy condition that you found it, ready for the next group to enjoy—perhaps on the same day. All decorations and flowers must be removed by the renter. All remaining personal items and debris, including beverage containers, programs, candles, clothes hangers, florist boxes, etc. are to be removed from the event space and taken out by the renter. Items left behind may be thrown away without notice. If we notice something of value, we will try to reach you but it is your responsibility not to leave anything behind. CLEANING AND FACILITY DEPOSIT: In addition to the rental fee, a refundable $250 cleaning and damage fee is required. This fee will not be refunded if, in our determination, cleaning of the event space is required, trash or décor has been left behind, or any damage to the space has been incurred. TRASH All trash from the event must be removed by the event organizer, who must provide large plastic trash bags. Existing SDRPF trash cans need to be emptied after the event and lined with a plastic bag by the Event Organizer, with recyclable materials separated and disposed of appropriately. DISCLAIMER: The San Diego River Park Foundation and Grant Park Staff are in no way responsible for items lost, stolen or damaged during any event held in Grant Park. ACKNOWLEDGEMNT AND INDEMNIFICATION I acknowledge that I have read and agree to the provisions outlined in this usage agreement. Additionally, I hereby release and hold harmless The San Diego River Park Foundation for any loss, damage, or injury resulting from any cause.
